Building a Service File for Your Used Car

A service file makes it easier to understand what has been done to a vehicle and what still needs attention. Start with the documents supplied at purchase and keep them together with inspection reports, invoices and the vehicle's owner manual. Note any gaps so that your workshop can help establish a sensible baseline.

Each time work is completed, record the date, mileage and items replaced. Keep the detailed invoice rather than only the payment receipt. Ask the workshop to identify the fluids and parts used, and to distinguish work completed from work merely recommended for a later visit.

Use the manufacturer's schedule for the exact vehicle as the starting point for future maintenance. Discuss your driving conditions with a qualified workshop; short trips, long periods parked and demanding use may affect what needs attention. Avoid treating a generic internet interval as the schedule for every engine and transmission.

A simple folder or digital archive is enough. Photograph documents before they fade, and keep a list of the next checks due. When you sell the vehicle, an organised history helps the next buyer understand its care without having to rely on your memory.
